Job Description

Receptionist/Administrative Assistant

 

  1. Answers telephones and directs the caller to the appropriate associate. Will transfer a caller to an associate’s voice mailbox when the associate is unavailable.

  2. Greets and directs visitors to the company.

  3. Takes and retrieves messages for various personnel.

  4. Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.

  5. Receives sorts and forwards incoming mail. Maintains and routes publications.

  6. Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)

  7. Assists in the ordering, receiving, stocking and distribution of office supplies.

  8. Assists with other related clerical duties such as photocopying, faxing, filing and collating.

  9. Performs a variety of clerical duties involved in the processing of day to day branch activities such as inventory & order entries  using  Microsoft AX  software.

 

  1. Must have high school diploma or GED; associates degree in business preferred, two years related experience a plus

  2. 1 – 2 years of administrative experience

  3. Heavy phone experience and experience with switchboards

  4. Must be able to multi-task, be organized, efficient, accurate and be accountable to job responsibilities

  5. Must have excellent communication and interpersonal skills

  6. Experienced user of Microsoft Office and Outlook email

  7. Organized team player with the ability to multi-task in a team environment

  8. Excellent customer service and interpersonal skills

  9. Must be capable of maintaining regular, reliable attendance

  10. Must be able to work independently

  11. Computer literacy

  12. Effective communication skills

  13. Must be able to perform the duties and responsibilities (Essential Job Functions) with or without reasonable accommodation

  14. Must pass criminal background check

  15. Must have valid driver license
